Privacy policy
Last updated: 31 October 2026
This policy describes the pickup-request service operated by R3spAwN E-Waste Technologies, an emerging venture in India.
Information you share
When you request a pickup, we collect your name, contact details, organisation details if supplied, collection address, equipment categories and quantities, preferred timing, access instructions, optional equipment photos and your consent. Avoid including sensitive personal information in photos or free-text fields.
How we use it
We use this information to review your request, assess item acceptance and special handling needs, contact you, coordinate approved collections and maintain operational records. Submission does not confirm an appointment. We do not use request details for advertising.
Accounts, coins and item tracking
Account records include your name, email, a salted password hash, email-verification state and hashed, time-limited session and reset tokens. Selling and shop records include submitted equipment, accepted valuations, coin credits and debits, orders and fulfilment contact details. Back-office inventory records may include acquisition source, supplier or customer reference, equipment serial, internal barcode, recorded value, location and a dated handling history. These operational records are restricted to authorised administrators; customer accounts can access only their own sales, orders and coin activity.
Account, coin and inventory records are not included in the proposed pickup-request purge. Expired account sessions and expired or consumed verification/reset tokens are removed by maintenance. Account notification email payloads, which may contain short-lived sign-in assistance links, are removed after 24 hours. Retention of the remaining account and transaction records, account-closure and outstanding-credit handling must be finalised by the owner before launch. Privacy deletion requests may require a review of records needed to resolve an active transaction.
Who can access it
Request details are restricted to authorised administrators. Hosting, database and email providers process the information needed to operate the service. Collection details may be shared with the personnel coordinating an approved collection. Provider selection and collection arrangements will be finalised before the public service launches.
Photos and device information
Optional images are checked, resized and converted before storage. Images are available only through authenticated administrator access. Please back up and remove data from equipment before handover. This service does not provide certified data destruction.
Retention and deletion
Our proposed retention period is 180 days from request submission, followed by deletion through scheduled maintenance. The site owner must finalise the retention period and enable that maintenance before public launch. You may ask for access, correction or deletion using our published contact channel. We may need to verify your identity before acting.
Cookies and service security
We use an essential, time-limited session cookie for administrator and customer sign-in. The customer-facing site does not use analytics, advertising cookies or third-party tracking. Request-rate controls store a hashed network identifier, when available, to help prevent abuse. No optional cookies are currently used.
Staff ID verification
A QR on an issued staff card opens a public current-status check. An active record displays only the approved name, photo, role, staff reference and validity. Invalid, suspended, revoked or expired checks do not expose identity details. There is no public staff directory. A scan does not prove who is holding the card or assign a pickup.
Appreciation certificates
After an eligible completed recycling/handover, authorised staff may issue one appreciation PDF using the transaction name and email, handover reference and completion date. The PDF is emailed as an attachment and is available privately to the linked account or matching verified email owner. Staff can check delivery and retry the same certificate. Email providers process the attachment; secure your email account. Certificates recognise handover participation, not certified recycling or data destruction. Certificate and staff-record retention, correction and closure rules must be approved before launch.
Customer master file in Google Drive
Authorised administrators can export customer records into one private master file in the business Google Drive owned by respawnewaste@gmail.com. The mirror can include contact and collection details, sales, coin activity, orders, equipment photos, appreciation PDFs and related operational history. Passwords, session tokens, reset links, administrator credentials and MFA secrets are excluded. Google processes the stored copy as a cloud provider. The website database remains the live transaction record. Automatic website updates require a separate authorised server connection; the local fictional preview does not upload demo records. Drive revisions may retain earlier copies, so deletion and retention requests must cover both the live database and retained Drive versions under the approved policy.
Mr. Respawn quick help
The helper provides general website guidance and cannot access or change private accounts, bookings or staff records. Topic buttons use the website guide. Typed guided questions are processed without a saved conversation history. If live AI is enabled and you choose to use it, your question is sent to OpenAI with our public service guidance; the API request asks not to store the response. Provider processing and retention terms still apply. Do not enter personal information, request IDs, passwords or OTPs. For individual cases, contact the team directly.

Policy changes
We will update this page when service arrangements or information-handling practices change. The final policy, contact details and retention arrangements need owner review before public launch.
